1.Who this covers
This policy explains how Deals Machine, operated by View1 Media ("we", "us"), handles personal data. It covers the people who use the product (our customers) and the prospects our customers contact through it. For the named sub-processors and our EU residency story, see our Trust and privacy page.
2.What we collect
- Account data: your name, work email, workspace details, and billing information.
- Prospect and lead data: the contacts you upload or source through the platform, which can include names, job titles, companies, phone numbers, and email addresses.
- Call and message data: when you use calling and follow-ups, we process call recordings, transcripts, and the emails and SMS you send through the platform.
- Usage data: how you interact with the product, so we can keep it running and improve it.
3.How we use it
We use this data to provide and operate the service: to source and organize leads, generate playbooks and follow-ups, coach calls, keep your account secure, bill you, and support you. Contact details for your prospects are encrypted at rest and revealed to your team only when needed to do the work, with the reveal recorded.
We do not sell your data. We do not use your prospects' data to train models for anyone else.
4.How we handle phone numbers and SMS consent
We use phone numbers only to place calls and send follow-up messages you have a lawful basis to send. SMS consent (a contact agreeing to receive text messages) is recorded so we can honor it, and honored opt-outs are stored so a contact who replies STOP is not messaged again.
We do not share mobile numbers or SMS consent with third parties or affiliates for their own marketing, and we do not sell them. Numbers are shared only with the telephony and messaging providers needed to deliver your calls and texts, as listed on our Trust page.
5.Where your data is stored
Prospect call data is processed through a single EU server we operate and stored in an encrypted EU database. Our sub-processors, and the one AI processor covered by the EU-US Data Privacy Framework, are named on our Trust and privacy page.
6.How long we keep it
We keep data only as long as needed. Call transcripts are deleted after 30 days and recordings after 90 days. Account data is kept while your account is active and removed after closure, subject to any legal retention we are required to observe.
7.Your rights
You can request access to, correction of, or deletion of your personal data, and you can ask us to stop certain processing. Prospects can make the same requests through our data request form. We handle these requests in line with the GDPR.
8.Security
Personal data is encrypted at rest, access is scoped to each workspace, and sensitive actions such as revealing a contact's details are recorded. No system is perfectly secure, but we work to protect your data and to notify you if something goes wrong.
